When you start a concierge company, doing everything yourself is often the only option. You handle the cleaning, the guest messages, the check-ins and check-outs, the owner relationship. And since you know every detail by heart, you save time, or so it seems. But past 5 or 6 properties, it’s a different story: your time is maxed out, you respond more slowly, and you push the important tasks to tomorrow. Delegating is a key step to grow your concierge business, and some concierge companies stall at 5 properties precisely because they waited too long to do it.

Delegation isn’t a luxury. It’s a mechanism that lets you keep growing without collapsing.

You get ahead of your days again

When you do everything, emergencies dictate your day:

  • An unexpected check-in
  • A guest who got the wrong door code
  • A cleaning problem spotted in a review

You’re running on fumes. And it shows.

When you delegate some operational tasks (cleaning, key handoff, guest messages), you get a day with open slots again. That’s not “free time” in the personal sense. It’s time available to work on your offer, your pricing, or your tools. And that’s where you take back the initiative.

You cut friction inside and outside the business

A guest who gets a fast reply, an owner who gets a structured monthly update, a contractor who knows exactly what to do: all of it comes down to one thing, handoff.

As soon as you get your processes out of your head and into a shared place (Google Docs, Notion, Trello…), you reduce:

You limit the impact of an absence or a busy spell

A concierge company can blow up, or fall apart, in a single season. All it takes is four sick days, a cleaning contractor who vanishes without warning, or two owners handing you a unit each at the same time.

If everything depends on you, these situations become threats. But if you have a clear playbook and someone already trained (even at 20% of your workload), you can absorb the shock. You can also delegate piece by piece: by area, by property type, by time slot. You don’t need to hire, but you do need backup you can activate, and that has to be prepared ahead of time.

You can build growth without the pressure

Growing without delegating just changes how heavy your load is. Growing with a system means building something that raises your revenue without doubling your stress.

Here’s where to start:

  • Centralize all your info in one tool (Notion, Google Drive…)
  • List the weekly tasks you could document and hand off
  • Prepare a template for automated guest messages
  • Set up a cleaning checklist you can share
  • Give yourself a rule: 1 task delegated per month

These are simple, unglamorous actions, but they create a foundation. And that foundation is what lets you go from 5 to 10 units without blowing up. Once the basics are in place, the logical next step is to look at everything you need to automate before you reach 20 properties.

Start small, but start

Delegating isn’t a stance, it’s a method. Start with one property, one task, one table. The time to look for a solution isn’t when you’re swamped: it’s now, while you can build it.
