Before 10 properties: stop improvising

At this stage, surprises pile up. So you need to lock down your recurring flows so you don’t drown with every new property.

  • A monthly call scheduled with each owner (shared calendar)
  • A service provider contact list that’s up to date and visible to everyone

Before 20 properties: think like an agency (without becoming one)

This is where it all plays out. From 20 properties on, you’re no longer running an activity, you’re running a business structure. And the smallest hiccup can cost you dearly.

Here’s what you need to plan for:

  • A clear, structured offer (with options, service levels, terms and conditions)
  • Automated reporting for your owners
  • An automatic reminder system for rent, service charges or fees
  • Traceability of incidents (disputes, delays, claims)
  • A compliant long-term management model, if you offer standard leases
